Gathering Committee Funding Request for Annual Sessions

Report for February 24, 2024 Quarterly Gathering

  • Funding request to keep attendee costs down for longer sessions, and with increased venue prices

  • Annual Sessions will start Friday morning and run through late Sunday afternoon to give us more time together. We will gather June 7 to 9 at Canby Grove

  • Without subsidies, at full price we are concerned people will be turned off by the costs, or simply be unable to afford attending

  • We are already committed to Canby Grove for these dates and have a minimum number of attendees for which we have to pay

  • Actual cost we estimate we will spend per attendee age 13+ in Canby Grove’s Riverfront Lodge: $404 each

  • We are aware costs are quite a bit higher than previous years, and will be unaffordable for many, but we are showing these costs so attendees can see the full amount, and hope those who are able will pay this

  • Cost we would like to suggest attendees pay per person 13+ in Lodge: $295

  • See below for costs in cabins (more rustic), for children ages 3-12, and for those who attend but do not stay overnight at the camp

  • We are also suggesting $25 per person to attend via Zoom to help cover costs for speaker, tech, other program costs

  • Additionally we will offer scholarships to further reduce costs for those who need assistance. We welcome and encourage those who are able to contribute extra to provide scholarships

  • We want this year’s Annual Sessions to build community and trust among our members, with compelling, fun programs. A sense of community is vital to who we are!

  • We realize this isn’t sustainable to request funding every year, so Gathering Committee will search for a more reasonably priced venue for next year

    • We’ll think outside the box and explore different times of year, types of venue, etc. How can we do things differently and still be a vital community?

    • One of our core criteria is having a venue that is welcoming to LGBTQIA+ persons, so this is one of the first things we look at

  • Funding request to cover anticipated shortfall: $8000
